Daily cleaning checklist for shared facilities: a record of what was done

A daily cleaning checklist records which areas were cleaned on a given day, which tasks were finished, and which supplies or problems need attention. It shows what happened, not how clean a space looks, so pair it with a schedule that says what must be done and how often. Use it for shared spaces where several people clean the same areas, and keep weekly and monthly tasks off the daily list.

Working checklist

The daily tasks, grouped by area

Restrooms

  • Clean and disinfect toilets, sinks, and mirrors
  • Restock paper towels, toilet paper, and soap
  • Empty waste bins and replace the liners
  • Mop the floor, starting farthest from the door

Kitchen or break room

  • Wipe counters and tables, and clean the sink
  • Empty the trash and recycling
  • Check the fridge for spills, and report any odor to the supervisor
  • Restock cups, napkins, and utensils

Entrances and high-touch surfaces

  • Wipe door handles, light switches, and elevator buttons
  • Sweep the entrance mat and the walkway
  • Check glass doors for marks and smears

Floors and waste

  • Sweep or vacuum the work areas
  • Move full bags to the collection point
  • Spot-clean spills, and note any that left a stain

Supplies

  • Check soap, paper, and liners for the next shift
  • Note every supply that ran out

Fields for one cleaning shift

FieldTypeRequiredWhy you ask it

Date

DateRequired

Groups every area for the same day, so a missed area stands out.

Building or area

For example: Building B, second floor.

Short textRequired

Keeps sites apart when one cleaner covers more than one building.

Cleaner name

Short textRequired

Names the person who did the work, so questions go to the right person.

Areas completed

RestroomsKitchen or break roomEntrances and high-touch surfacesFloors and wasteSupplies restocked
Multiple choiceRequired

Shows which areas were finished. Leave an area unticked when it was not done, rather than ticking it to complete the list.

Areas not completed and why

One line per area: the area name, then the reason.

Long textOptional

Explains each gap, such as a locked room or a spill that needs a second visit.

Supplies that ran out

For example: hand soap in the restroom by the stairs.

Short textOptional

Tells the supply owner what to reorder before the next shift.

Problems that need a repair

Describe the problem here. Send the repair itself through the maintenance request form.

Long textOptional

Records leaks, broken fixtures, or pest signs that someone has to fix.

Condition at end of shift

RatingOptional

Gives a quick trend across shifts. Use one rule every day: 5 means every area is clean and stocked, and 1 means several areas need attention.

Supervisor who checked the shift

Short textOptional

Shows who reviewed the work. The form does not confirm that a review happened.

Time finished

for example 6:45 PM

Short textOptional

Shows when the shift ended, which makes shifts easier to compare.

Read the record for missed areas, not for perfect ticks

  1. Count missed areas, not ticked boxes

Each unticked area is a gap to explain. A day with every box ticked and no notes may be accurate, or it may mean the list was filled in from memory. Compare a few shifts against what you see on site.

  2. Look for the same area missed on several days

One missed kitchen is a scheduling problem. The same kitchen missed on four shifts points to staffing or access, and the fix belongs with the supervisor.

  3. Move weekly and monthly tasks off the daily list

If a deep clean keeps showing up in the notes, it belongs on a weekly or monthly schedule. Moving it keeps the daily list short enough to finish in one pass.

Frequently asked questions

Is this a house cleaning checklist?

No. This page is for shared facilities, where several people clean the same areas on a set schedule. A home checklist is usually room by room and written for the person who lives there, so it needs a different layout.

What is the difference between a cleaning schedule and a checklist?

A schedule says what must be done and how often, such as daily, weekly, or monthly. A checklist records what was done on a given day. Use the schedule to plan the work and the checklist to record it.

Is there a daily cleaning checklist template I can print?

This page does not give you a printable file. Attain OS builds online forms that people fill in from a shared link, which suits a cleaner with a phone or tablet at the end of a shift. Keep the task list to one page so it can be finished in one pass.

Can a cleaner attach a photo of a spill or damage?

The form does not take photos or other files. Describe the spill or damage in the problem box, and record where any photos are stored in your own system.
