Working guide

A campaign volunteer sign up should tell you how to contact a person, when they are available, and which local activities they want to help with. Follow it with a human confirmation of the meeting place, role and lead; receiving a form does not assign a shift. Build the campaign calendar backward from its own public dates, leaving time to brief volunteers and resolve missing details.

Timeline

A local campaign calendar built around volunteer readiness

  1. 8–6 weeks before the first field event

    Define the work

    • List the neighborhoods, events and roles your team can actually support.
    • Name a volunteer coordinator and decide who can access volunteer contact details.
    • Write the sign-up introduction with the next step and a contact for questions.
    Notes
  2. 6–4 weeks out

    Open sign-ups

    • Build and review a volunteer form with contact details, availability and role interests.
    • Publish the public link and explain when the team expects to respond.
    • Review submissions and confirm suitable activities with each volunteer.
    Forms
  3. 3–2 weeks out

    Prepare the briefing

    • Give leads a meeting place, contact, accessibility details and weather plan.
    • Draft a short public information page using only the campaign details you provide.
    • Invite workspace members to the internal briefing; contact outside volunteers separately.
    Content Creator
  4. Final week

    Check the field plan

    • Check the intended stop order and meeting points with each field lead.
    • Assign tasks for materials, setup and volunteer follow-ups.
    • Confirm volunteer arrangements directly instead of treating a form response as attendance.
    Tasks
  5. Event day and the following week

    Run and debrief

    • Use the named lead for changes, late arrivals and safety concerns.
    • Record what happened without collecting unnecessary personal information.
    • Thank volunteers, review unanswered enquiries and revise the next briefing.

Give each organizing job its own place

JobAppWhat it does here
Collect volunteer interestFormsUse the in-app wizard to draft the sign-up fields, then review and publish the form yourself. Submissions are stored and processed hourly in production; the creator is notified. The team reviews availability and confirms roles.
Prepare field follow-upsTasksAssign briefing preparation, materials checks and volunteer callbacks with due dates and checklist steps. An assigned task records responsibility for the follow-up; it does not place a phone call or send a text.
Brief workspace membersCalendarCreate an internal briefing event and invite workspace members to respond. This is not an external volunteer scheduling portal. Confirm arrangements with volunteers who are outside the workspace through your own contact process.
Order field stopsRoutesRecord stops in the order your lead chooses and open the Google Maps directions link. Routes does not optimize the stop order or provide voter files, voter targeting or a canvassing results database.
Explain the public planContent CreatorGenerate one HTML page from your supplied description, sources, images and contact details. Publish a link after review. You can link to a published volunteer form; the page does not embed a live form.

A small kit for sign-up, briefing and follow-up

Event RSVP form

Collect attendance intentions for one named event; verify changes with the attendee.

Post-event survey

Ask whether the briefing and role instructions were clear enough to act on.

Mistakes to avoid

Avoid a sign-up list that nobody can act on

Collecting interests without availability

Someone interested in field work may only be available on weekday evenings. Ask both questions, then discuss a suitable role. A list of enthusiastic names is not an event staffing plan.

Publishing the event before checking its practical details

Verify the meeting point, lead, accessibility information and change contact before sharing the briefing. Do not invent a venue or let placeholder contact details become public instructions.

Treating an internal calendar invitation as external scheduling

Only workspace members receive the Calendar’s invitation and RSVP workflow. Keep a separate human confirmation process for other volunteers so nobody assumes they have been notified or assigned.

Using the coordination workspace as a specialist campaign system

Attain OS does not provide voter files, donation processing, FEC or compliance reporting, texting, robocalls or payments. Use appropriate separate systems and qualified guidance for those needs.

Working checklist

Before a volunteer leaves for the meeting point

Coordinator check

  • Confirm the volunteer’s role and availability directly.
  • Provide the location, meeting time and named lead.
  • Explain how to report a change or ask for help.

Field lead check

  • Check the route’s chosen stop order and meeting points.
  • Confirm who brings materials and who handles late arrivals.
  • Write down follow-ups after the event and give them an owner.
What this agreement means

Keep the campaign’s responsibilities clear

  • Use the workspace for organizing people, information and follow-up work.
  • A sign-up is an expression of interest; the coordinator confirms the role and event arrangements.
  • Use separate, suitable processes for specialist campaign data, financial activity and legal obligations.

This calendar is a planning example, not election law advice or a measured campaign seasonality pattern. Have campaign obligations reviewed by your own qualified advisers.

Frequently asked questions

What should a campaign volunteer sign up ask?

Ask for a name, a contact method, availability and preferred activities. Explain who will respond and what happens next. Leave out sensitive information you do not need to match a person with a role.

How do you schedule volunteers for a local campaign?

Start with the activities and leads you can support, then compare them with volunteer availability. Confirm the role, place, time and change contact with each person. Keep expressions of interest separate from confirmed arrangements.

Do grassroots organizing teams need political campaign software?

The answer depends on the work. General tools can coordinate meetings, notes and tasks. Specialist needs such as voter data, financial processing or required reporting need their own evaluation and suitable processes.

Can Attain OS run the sign-up and all campaign operations?

It can collect volunteer interest through a published form and help with team coordination. It does not provide voter files, donation processing, FEC or compliance reporting, texting, robocalls or payments. Your team confirms volunteer arrangements and uses separate processes for those needs.
